Connecting DATEV DMS to amber

To connect your DATEV DMS to amber, you usually provide access via DATEVconnect together with a dedicated service account. amber can then index the content that this service account is allowed to access.

Prerequisites

What you need to provide

Before the technical onboarding, please prepare the following information:

  1. DATEVconnect endpoint / system address
    Share the address under which your DATEV system can be reached.
    In this context, what we refer to as the “base URL” is the DATEVconnect endpoint used for the connection.

  2. Network reachability
    If your DATEV environment is only available from your internal network, we need:

    • the internal IP address / host address of the system,

    • and confirmation that amber can reach this system.

  3. Required ports
    For most DATEV customers, the relevant standard ports are:

    • 58454

    • 58452

    These ports should be reachable if your DATEVconnect setup requires internal network access.

  4. Dedicated service account
    Create a dedicated service account for amber.

  5. Permissions for the service account
    Grant this service account access to the documents and folders that should be indexed.
    amber will only be able to index content that this account is permitted to access.

  6. Credentials for the service account
    After the account has been created, provide the login details securely during the onboarding process.

Important note on permissions

amber only indexes the content that is visible to the configured service account. If a folder or document is not accessible to that account, it cannot be indexed.

Please note that all documents indexed by amber can subsequently be viewed by every user with access to the amber environment. The permissions and access restrictions configured in DATEV are not transferred or enforced in amber. Organizations should therefore ensure that only content intended for access by all amber users is made available for indexing.

Alternatively, administrators can restrict access to the connected data source to specific users or groups by configuring a user whitelist. In this case, only the whitelisted users and groups will be able to access the indexed content through amber.

Important note on technical onboarding

The exact technical setup is typically finalized together during the technical onboarding.
That includes checking:

  • whether the DATEV system is reachable,

  • whether the correct DATEVconnect endpoint is used,

  • whether the necessary ports are open,

  • and whether the service account has the correct permissions.
